Business-to-Business Event Guidelines

These guidelines apply to all membership functions. Please note the specifics for each type of function. When hosting an event, we encourage hosts to use a fellow chamber member to cater their event.

Business Responsibilities for All Event Types
The below are guidelines for hosting an after-hours mixer, a ribbon cutting, an open house, a luncheon or another event:
- Bring in food, beverages, etc. It is up to the business to choose whether to charge for the event.
- Obtain a special event permit (from Winter Park, Fraser or the county) if alcohol is being served and event is open to the public and/or held in a public place. If a permit is required and/or the event is outside, the business is responsible for fencing off the area.
- Provide event information to chamber two weeks before the event and it will be placed in a weekly eBlast.
- Do further promotion, if desired. For example: Contact newspaper for press release, send in a business article or ad about event or send invitations.
Chamber Responsibilities for All Event Types
- If event information is given to the chamber in appropriate time, the chamber will promote your business' event in its eBlasts.
- The event will be placed on an events page at www.playwinterpark.com (if appropriate due to alcohol permit regulations).
- After the event, the chamber will send an event image and caption to newspaper. (It may or may not be posted).
- If available, the chamber will have staff present at the event.
- The chamber will provide name tags and pens.
Open House/Ribbon Cutting
- Hosting requests are accepted on a first-come, first-serve basis. A maximum of two to three mixers will be held a month. (Includes after-hours mixers).
After-Hours Mixer
- Hosting requests are accepted on a first-come, first-serve basis. A maximum of two to three mixers will be held per month. (Includes open house and ribbon cuttings combined).
- The recommended time for an event is one to two hours between 5-7 p.m.
- The chamber will collect RSVPs if the business desires.
